This section explains each kind of information the GoERP software handles, the reason it is needed, and whether anyone outside GoERP receives it. We collect only what the software needs to run a hotel or restaurant — nothing is gathered for advertising, and nothing is sold.
| What | Why we need it | Who else sees it |
|---|---|---|
| Property name, address, city, state, PIN code and map link | Printed on every invoice and bill as the supplier's address, which is a legal requirement on a tax invoice. The map link is shown to guests on the digital menu and booking pages so they can find the property. This is the business address the property types in itself — it is separate from the device Location permission described below, which is used only for connecting to a printer. | Nobody. It appears on the property's own bills and guest-facing pages. |
| GSTIN and FSSAI / food licence number | Both must appear on a tax invoice issued by a hotel or food business. | Printed on the invoice given to the guest. |
| Bank name, account number and IFSC | Printed on hotel invoices so a company guest can settle by transfer. | Printed on that property's own invoices only. |
| Logo and UPI ID | Printed on bills; the UPI ID generates the "Scan & Pay" QR code. | Shown to the guest on the printed bill. |
| What | Why we need it | Who else sees it |
|---|---|---|
| Name, mobile number, email and address | To identify the booking or order, print the bill, and contact the guest about it. | Sent to the messaging provider only if the property has enabled WhatsApp updates. |
| Company name, company address and GST number | Only when the bill is raised to a company, so the guest can claim input tax credit. | Printed on that invoice. |
| Nationality, passport number and visa number | Recorded only for foreign nationals, because Indian hospitality rules require a hotel to keep these particulars for its guests. Not collected for domestic guests, and never collected by the restaurant apps. | Disclosed to police or immigration authorities where the law requires it. |
| Stay and order details — dates, rooms, items, amounts, discounts | To run the booking or order and to produce the bill and tax records. | Nobody outside the property. |
| Payment records — amount, tender used, reference number, card type | To reconcile what was collected against what was billed. | The payment gateway processes the payment itself. Full card numbers, CVV and PINs never reach our servers. |
| What | Why we need it | Who else sees it |
|---|---|---|
| Staff username, display name and permissions | To sign a user in and show only the screens their employer has allowed. | The property that created the account. |
| Password | Stored only as a salted PBKDF2 hash. It cannot be read back — not by us, and not by the property. | Nobody. |
| Record of who placed, edited, cancelled or discounted an order | So a property can audit its own operations and settle disputes. | The property's own management. |
| Terminal / device identifier | To route a kitchen ticket or bill to the correct printer at that till. | Nobody. |
| Local network IP address of the device | To find and connect to a WiFi thermal printer on the same local network at the property. | Nobody. Used only within the property's own local network. |
| Server logs — IP address, time, request | Security and fault diagnosis. | Our hosting provider, which stores them on our behalf. |
A quick note before the table: on Android and iOS, an app must be granted the Location permission before the operating system will let it scan for nearby WiFi networks or Bluetooth devices — this is a restriction set by the phone's operating system, not a choice we made. We use Location, WiFi and Bluetooth access only to find and connect to your printer. We do not read, store or track your GPS coordinates, and this data is never used to determine or record where you or your device are.
| Permission | Do we use it? | Why / why not |
|---|---|---|
| Location | Yes — for printer connectivity only | Required by the operating system before the app can scan for and connect to a WiFi or Bluetooth thermal printer at the property. We do not use it for GPS tracking, and we do not store or transmit your device's geographic coordinates. |
| WiFi state / connection info | Yes | To detect and connect to the WiFi printer configured for that till or counter. |
| Bluetooth | Yes | To detect and connect to a Bluetooth printer where one is used instead of a WiFi printer. |
| Local network / IP address | Yes | To locate the printer's address on the property's local network and send print jobs to it. |
| Camera | Only if you tap to scan | Used solely to scan a table QR code. No image is stored or uploaded. |
| Contacts | No | Never accessed. |
| Photos and media | No | Never accessed. |
| Microphone | No | Never accessed. |
| Advertising ID | No | The apps carry no advertising and no third-party trackers. |
Payments made through our software are processed by CC Avenue and AllUPI, each under its own terms and privacy policy. We receive back only the outcome — whether the payment succeeded, the amount, the tender type and a reference number.
Each hotel or restaurant decides what guest information it records and why. For that information the property is the data controller and GoERP acts as its processor, holding and handling the data on the property's instructions. A guest wishing to access, correct or delete their information should contact the property they dealt with; we will assist the property in responding.
